EAOO Conference Terms and Conditions

Registration and Payment:

  • All participants must complete the registration form and submit payment for the conference fee by the specified deadline.
  • Non-EAOO members can become members through the registration form by paying the membership fee of 100 euros, which will then entitle them to pay the discounted conference fee.
  • Payments must be made through the designated payment methods provided (e.g., Stripe).

Cancellation and Refund Policy:

  • Registrations are binding.
  • Cancellations can be made free of charge only in cases of illness, provided a valid medical certificate is submitted.
  • Notification of cancellation and the relevant medical certificate must be submitted before the event.
  • Upon receiving the medical certificate, the payment will be refunded in full.

Membership:

  • By selecting the option to become a member of EAOO and paying the membership fee, non-members agree to the terms and conditions of EAOO membership.
  • Proof of student status is required for student memberships. Acceptable documents include a valid student ID card, an enrolment certificate, or an official document verifying current enrolment status.

Conference Participation:

  • The conference fee includes access to all sessions, materials, and any meals or refreshments specified in the conference program.
  • Participants are expected to conduct themselves professionally and respectfully at all times. EAOO reserves the right to refuse entry or remove any participant who behaves inappropriately.

Liability:

  • EAOO is not responsible for any personal injury, loss, or damage to personal property that may occur during the conference.
  • Participants are advised to arrange their own hotel accommodation, travel and health insurance.

Data Protection:

  • By registering for the conference, participants agree to the collection and use of their personal information for conference-related purposes, in accordance with EAOO’s privacy policy.
  • EAOO will not share personal information with third parties without the participant’s consent, except where required by law.

Changes to the Program:

  • EAOO reserves the right to make changes to the conference program, including speakers, sessions, and venues, if necessary. Any significant changes will be communicated to participants as soon as possible.

Intellectual Property:

  • All conference materials are the intellectual property of EAOO or the respective speakers and are provided for personal use only. Participants may not distribute, reproduce, or use these materials for commercial purposes without written permission.

Governing Law:

  • These terms and conditions are governed by and construed in accordance with the laws of United Kingdom. Any disputes arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of United Kingdom.

Agreement:

  • By registering for the conference, participants acknowledge that they have read, understood, and agree to these terms and conditions.

EAOO Membership Terms and Conditions

Membership Eligibility:

  • Membership is open to individuals who support the mission and goals of the EAOO.
  • Proof of student status is required for student memberships. Acceptable documents include a valid student ID card, an enrolment certificate, or an official document verifying current enrolment status.

Membership Application:

  • Applicants must complete the membership application form and provide all required information.
  • Applicants will be notified of the approval status via email.

Membership Fees:

  • The membership fee for individual members is 100 euros per year.
  • Student memberships are free, provided valid proof of student status is submitted and approved.
  • Membership fees are non-refundable except in cases where the application is not approved.

Membership Benefits:

  • Members have access to exclusive content, resources, events, and networking opportunities on the EAOO website.
  • Members are entitled to discounted rates for EAOO conferences and events.
  • Members can participate in special interest groups (SIGs) and forums.
  • Members receive regular updates and notifications about EAOO activities and international eye care and research events.

Membership Renewal:

  • The membership term runs from January 1 to December 31 of each calendar year.
  • Members will receive a renewal notice via email prior to the expiration of their membership.
  • Membership renewal requires the payment of the annual membership fee.

Cancellation and Termination:

  • Members may cancel their membership at any time by providing written notice to EAOO.
  • No refunds will be provided for cancellations or terminations of membership.
